Who do I call in case of a repair emergency on my property?

Please call the managing agent to report emergency repairs to the exterior of your home such as roof leaks.

Keep in mind some issues may be covered by your homeowner's insurance.

How do I arrange for necessary repairs to my home?

Non emergency repairs should be submitted to the managing agent in writing.  The Board is working with the managing agent to save maintenance dollars by collecting reported repairs each month in order to contract out the needed repairs in groups.

How can I submit an article to the Community Newsletter?

Contact any Board Member for deadlines and formats for Gayton Glen Community Newsletter articles.

 

How do I volunteer for a Board Committee?

Please attend a Board meeting and submit your request during the Homeowner comments time at the beginning of the meeting.

 

What is the process to request approval for changes to the exterior of my home?

Please complete an architectural request form and submit for review by the ARC (Architectural Review Committee).

Architectural requests are reviewed by the committee each month and decisions will be made during the monthly Board Meeting.

 

When is trash pick up?

Trash is picked up twice a week on Tuesdays and Fridays.

Note: The Community also participates in the Bi Weekly Recycle Program. Recycle schedules are mailed to each homeowner at the beginning of the year with pickup dates and other helpful recycling information.  Visit Henrico Recycle site for more details: Recycling Schedule

Trash cans and recycle bins are not to be left in front of homes EXCEPT on pick-up days.

 

When is lawn service?

Mowing, Trimming, Edging
Weekly during spring season (April - June)
Every 7 to 14 days during summer and fall (July-November)

Bush, Shrubbery, Tree Trimming
Shrubs pruned 3 times throughout season to maintain neat appearance.
Minor tree pruning at the discretion of the association over sidewalks, etc.

 

What is included in our lawn service?

Our homeowners association has contracted with Tuckahoe Landscaping lawn care service for the 2005 season. The following highlights the type and schedule of services to be provided:

Mowing, Trimming, Edging
Weekly during spring season (April - June)
Every 7 to 14 days during summer and fall (July-November)

Bush, Shrubbery, Tree Trimming
Shrubs pruned 3 times throughout season to maintain neat appearance.
Minor tree pruning at the discretion of the association over sidewalks, etc.

Mulch Beds
Common areas and foundation beds once to maintain 2-3 inch depth.

Weeding
Curb lines, parking areas and sidewalks sprayed to eliminate weeds on a continual basis.

Leaf Removal
Removed from the property twice in the fall (November and December)
Bi-Weekly visits during the winter to continue clean-up process.
Thorough leaf removal again in March.

Chemical Application Program
Crabgrass pre-emergent with a balanced fertilizer around March 1st.
Application of broadleaf pre-emergent in April and late summer.
Lime as determined by soil sample to maintain correct PH levels, once.
Fertilizing twice during the fall season, September (during aerating and seeding) and December.

Seeding and Aerating
Aerating in September or early October.
Seeding and raking in bare areas using turf type tall fescue.

Back Yard Care
Back yards are mowed during the growing season.
Leaf removal in Fall.
Aerating, over seeding, weeding, mulching, etc. are not included for back yards.

 

When are gutters cleaned?

The budget line for roofing provides for maintenance and repair to roofs, and also includes gutter cleaning twice each year in the spring and late fall/winter for classes 1, 2 and 4.

 

What are the rules regarding foundation plantings in the front of homes?

Mulch, roots, vines, shrubs and flowers, etc. must be six inches or more from the foundation and mulch should be kept away from the home’s foundation and siding.  Mulch should not be allowed to build up next to the foundation.

Assessments: Monthly payments from homeowners to fund the operation of the Association.
Interest Income: Represents anticipated interest on reserves and interest checking account. Interest is transferred to the reserves to offset inflation.
Late Charges: A $10 late fee is charged against any assessment received after the 5th day each month
Audit/Accounting: Covers the cost of the annual audit and preparation of taxes, as well as the management portion  of the accounting for the Association, which includes receiving and processing assessments, bi-monthly financial report to the Boards of Directors, paying of invoices from various contractors, processing of late notices, etc.
Insurance: Includes liability insurance for the common areas of the community and liability insurance for the directors and officers of the Association.
Legal/Professional Includes the registered agent fee and legal opinions, if any.
Postage/Printing: Provides postage and printing for assessment coupons, annual meeting notices, minutes, agendas, correspondence, contractor payments, etc.
Other Admin.: Includes annual meeting expenses, bank deposit books, homeowner credit for attending annual meeting, annual registration fee to SCC and Virginia Real Estate Board as required by law, etc.
Electricity: Includes electricity used for common area lights.
Exterminating: Provides exterminating of wood eating insects in common area as needed.
Lawn Maint.: Includes contract with grounds contractor to cut the common areas and individual lots, prune plant material, fertilizations, mulch, leaf removal, etc. Note: Back yards include mowing and leaf removal only.
Management: Includes management services provided by Community Group such as attending Board meetings and the annual homeowners meeting, sending correspondence, inspecting the property, providing counsel to the Board, etc.
Trash Removal: Provides for trash removal twice per week.
General Bldng Rep.: Provides maintenance to the exterior of the homes including repair or replacement of wood trim, siding, etc. Repairs are left in primed condition and the homeowner is responsible for topcoat of paint.
Grounds Improv.: Provides for plantings and tree removal in common areas.
Roofing: Provides maintenance and repair to roofs, Also includes gutter cleaning for classes 1 and 2 once each year in the month of December.
Snow Removal: Provides for snow plowing of streets.
Other Maintenance: Includes repairs to common area items such as light posts and entrance lights.
Pavement Reserves: Provides for seal coating of streets and roadways once every 4 years and an overlay of all streets and roadways once every 20 years.
Roof Reserves: Covers the need for the replacement of roofs in each class after 20years.
Contingency Res.: Provides funds for unanticipated major expenditures such as common area sidewalk repairs, potholes in streets, etc.
Interest to Res.: Includes interest that accrues on the reserve account, which is placed back in reserves to offset inflation.
